Position Summary
As an Event Manager, you will play a key role in planning, organizing, and executing a wide range of events, from traditional in-person gatherings to dynamic and engaging virtual experiences. Your extensive expertise in event coordination and management will ensure the seamless execution of each event, regardless of the format. You will work closely with our clients, vendors, and our creative team to bring their event visions to life. The ideal candidate should have 2-3 years of event management experience, with a proven track record of successful in-person and virtual events, and the ability to excel in on-site event coordination.
Responsibilities:
Lead the planning and management of in-person and virtual events, ensuring flawless execution from start to finish.
Collaborate closely with clients to understand their event objectives, preferences, and specific needs.
Develop comprehensive event plans, timelines, and budgets, with a focus on creating memorable experiences.
Oversee event logistics for both in-person and virtual events, including venue selection, setup, and attendee coordination.
Manage virtual event platforms and software, ensuring smooth functionality and an engaging attendee experience.
Coordinate with vendors, speakers, and talent to ensure a seamless event experience for all stakeholders.
Provide on-site event management and coordination for in-person events, ensuring all aspects run smoothly.
Implement effective marketing strategies to drive event attendance and engagement, both in-person and online.
Conduct thorough quality checks to maintain high standards for content, branding, and technical aspects.
Collaborate with internal teams, including creative, marketing, and technical departments, to ensure event success.
Deliver exceptional customer service to clients and attendees, promptly addressing inquiries and concerns.
Track and analyze event metrics to evaluate success and generate comprehensive post-event reports.
Stay up-to-date with industry trends, innovative event technologies, and best practices for both in-person and virtual events.
Familiarity with event analytics and reporting tools to track event performance, assess ROI, and provide valuable insights for event improvement.
Qualifications:
Bachelor's degree in Event Management, Marketing, or a related field.
2-3 years of proven experience in event management, showcasing expertise in both in-person and virtual events.
Exceptional organizational skills, meticulous attention to detail, and a creative mindset.
Demonstrated ability to manage multiple events simultaneously, meet deadlines, and excel in on-site coordination.
Excellent communication and interpersonal skills, adept at working collaboratively and leading a team.
Proficiency in virtual event platforms and software (e.g., Zoom, Hopin, Remo) and experience with in-person event logistics.
Strong project management skills with the ability to oversee event planning and execution from inception to conclusion.
Highly adaptable, resourceful, and proactive in problem-solving.
Flexible schedule
Must have access to vehicle and laptop with all necessary programs
Sales skills and ability to build productive business relationships
G Suite & MS Office proficient
Bonus Skills:
Proficiency in using Cvent, Eventbrite, Bizzabo, Zoom, Hopin, Social Tables, Whova, Aventri, Attendify, and Salesforce for event planning and management.
Knowledge of event marketing strategies, including social media promotion, email marketing, and content creation to drive event attendance and engagement.
Demonstrated ability to work with cross-functional teams, including creative, marketing, and technical departments, to ensure seamless event execution.
Experience in negotiating and managing vendor contracts, ensuring cost-effective event solutions and high-quality services.
Strong project management skills, including the ability to create and adhere to event timelines, budgets, and deadlines.
Proficiency in designing event layouts and floor plans using event diagramming software like Social Tables.
Prior experience in creating engaging virtual event experiences using virtual booths, live streaming, and interactive networking features.
Knowledge of event industry trends, emerging technologies, and best practices for creating memorable and impactful event experiences.
